Outlook Office SMTP/POP3 Configuration

Open your Outlook Office program and select Tools / Email Accounts from the top menu. You should see the screen below. Select Add a new e-mail account and click next.



In this screen you select whether you want to connect to the server using the POP3 or IMAP protocol. Select POP3 and click next.



In this screen enter the values as shown in the image. In the fields E-mail Address and User enter your full email address and enter your password. Select to remember your password unless you want to type it every time you receive email. Leave the option to Log on using Secure Password Authentication (SPA) unselected and click on More Settings.



Under the General tab, enter the name under which you identify this account (Suncoast Secure) and your organization (Optional). If you want your contacts to reply to your messages to an email other than your Suncoast Secure Mail Account, please enter the alternate email in the Reply Address box (Not recommended). When you finish, select the Outgoing Server tab.



Under the Outgoing Server tab select My server (SMTP) requires authentication, and you can either select to use the same setting as the incoming mail server, or select Log on using, and enter your full email account and your password again. Select to remember your password unless you want to type it every time you send email. Leave the option to use Secure Password Authentication (SPA) unselected. When you finish, select the Advanced tab.



Under the Advanced tab, please make sure the SMTP port indicates 25, the POP3 port indicates 110, and the SSL options are unselected.

Important information on the option to Leave a Copy of The Messages on Server This is up to you. If selected, your messages will be duplicated in your mail program and in the server, and they may not be deleted ever even if you delete them from your local email program. This means that the messages in the server will keep using you available space until you reach your limit.

On the other hand, if you select to delete the messages from the server, and if you read your mail from 2 different locations, only the one that reads them first will get a copy of the message. This is one of the main reasons why it is preferred to configure your incoming server as IMAP instead of POP3.



When you finish, select OK to return to the main e-mail configuration screen.

Important note: If you test your configuration with the button labeled "Test Account Settings", you will receive the following error message: "Unable to send test Message. Please verify the E-mail". This error does not necessarily mean that you configured something wrong. Our spam control system blocks this test since it has your email account in the From and To fields (a trick used by spammers to bypass list of approved emails). To test your configuration in Outlook Office, please send an email from the normal Compose-Message screen instead.




Select Next to finish the configuration of the account and close the accounts configuration screen. Proceed to test your configuration by sending and receiving a test email to and from an alternate email account.
